Currently, we are looking for an Office Coordinator for our team in London, UK.
Your daily responsibilities:
Coordinating and facilitating onboarding processes for new employees (meeting, slacks, meetings) and liaise with IBM
Conducting HR-related tasks such as scheduling intro calls, preparing welcome packs, and issuing building passes and Internet access
Maintaining onboarding task lists and ensure completion of necessary procedures
Providing basic IT support to employees
Planning and organizing various office events including Christmas and summer parties, offsites, team events, and collaboration days
Coordinating logistics, catering, and budget management for events
Managing recognition awards and community budget allocation
Overseeing general maintenance of the office environment including furniture fit-outs and repairs
Housekeeping - refill the fridge with drinks, snacks cupboard, coffee machine, dishwasher
Ensuring cleanliness and safety standards are maintained
Conducting regular office walk arounds to identify maintenance needs
Enforcing health and safety policies and procedures
Serving as the designated fire warden and ensuring first aid training is up to date
Reviewing and fine-tune health and safety policies as needed
Managing the expenses portal, including processing
Liaising with accounts for invoice processing and budget management
Supporting business operations by contributing to the development and maintenance of a positive workplace culture
Assisting in fostering a collaborative and inclusive environment
Fine-tuning and updating the health and safety policy as required
Updating the Office Manager handbook and maintain documentation in Confluence
Ensuring stocks of new joiners packs are enough/recruitment
Your key skills:
Previous experience in office management or related administrative roles
Strong organizational and multitasking abilities
Excellent communication and interpersonal skills
Knowledge of health and safety regulations
Ability to work autonomously and as part of a team
Fluent communication skills in English
